Tips to Improve Project Communication

Communication is vital to the success of any endeavor, and nowhere is this perhaps more true than in the realm of project communication. Over 50% of all projects ultimately fail due to a lack of communication between teams, and between management. It’s a problem that can be easily avoided if management simply follows a few, key steps that have been time tested at improving project communication. 

Listen to Employees

One of the single biggest complaints that employees often have about their management teams is their failure to listen. When employees have a complaint, especially if that complaint is consistent across multiple individuals, it’s time for management to take notice! Complaints mean that something in the project management process or work environment is breaking down. If these complaints aren’t rectified, it not only leads to poor employee morale as they struggle to keep up in an environment that feels rigged against them, but it can also lead to the failure of the project outright. 

Use the Proper Medium to Communicate

Time and place are the two key ingredients to any successful communication. Employees and managers alike need to know that their time is being used efficiently. As such, it’s important to consider whether or not the message you need to send out requires an all hands-on deck meeting, a one on one with a sole individual, or just a simple email or instant message to those directly involved with the issue. When issues are major, it’s even more important to make these decisions with a degree of emotional intelligence in mind, as people often don’t think clearly when tensions are already riding high in project crunch time. 

Know your Stakeholders

A stakeholder is anyone with a vested interest in the project and its completion. It’s vital that any management team know who their stakeholders are, so that these individuals or organizations can be updated on the project completion status as may be appropriate. Open, honest communication, even what that communication is conveying a delay in the project’s completion date, is always better for everyone involved than radio silence. Even when things come up, good communication can keep the relationship strong in the face of adversity. 

Leverage the power of meetings

When a meeting does need to be called, it’s important to leverage it to its full potential. Different types of meetings can produce different results. A kickoff meeting is one where expectations are set, whereas a check in meeting allows everyone involved to compare notes: what’s working, what isn’t, and what needs to change? By using meetings effectively with an overarching theme, everyone gets a chance to feel heard and as though they play a vital role in the project’s success.
